The request is never a surprise in principle and always a surprise in practice. Somebody asks for the equipment checks for a given month, and the department spends a week matching signatures to sheets that may or may not be in the drawer.
You'll work out which records your department is expected to hold, close the gaps where a check is done but never written down, and set up records that are complete at the moment the work happens. You end able to answer a request with a file rather than a search.
